Completing tests

General information

Depending on the form of test access prepared by the administrator, you can have a private access code, public link or a group password.
If you know the link to the test, paste it in the browser. You may be asked to enter your e-mail address where you will receive your private access code (sometimes test administrators require additional verification). If not, you will be redirected to the test home page.
If you have an access code, enter it on the main page in the section "Are you completing a test?" and confirm with "Complete test" key. If the test administrator has a subdomain *.testportal.net, you can enter the access code there as well.
If you have a password (shared by all respondents), enter it on the subdomain page *.testportal.net. Your test administrator should provide you with a correct subdomain address (password as well).

During the test

Home page
If the test is active, you will be redirected to the page with test instructions (if any). You will be required to enter your personal data. It is obligatory because the test administrator will use this data to identify you among all respondents. If you are sure all data is correct, please start the test.
Test question page
The test consists of various questions prepared by the administrator. It is the test administrator who decides whether you can select one or many answers or give a text answer on your own. The type of test also determines whether answers are checked immediately, whether you can choose the order of questions you answer, whether you can go back to previous questions, and how the time is measured. You, as a respondent, cannot decide about it. If you are allowed to take the test many times, the administrator will receive all your results (deriving from every attempt).
Summary
The test summary screen is the last screen when you complete the test. The information showed on this screen depends on settings made by the test administrator. By default it should include results and score.

Conducting tests

My tests

It is the first window you see when you log in. It shows all the tests you have created. To modify settings of a specific test or browse results, click the name of the test or use the link "Open". Other options refer to deleting the test, deleting selected tests, duplication and sending tests to another user. It is important to mention that the tests you can see there can be sent to users who have a subaccount under your license only and are assigned to your user account. You can filter tests displayed by categories.

If you have selected "I will activate the test at a specific time"option, it will also inform you about when the test will become active.
Active
The test is available and ready to be completed.
Inactive. X persons are still completing it.
This status will activate when the test expiration time is exceeded but there are still respondents who have not finished the test.
Finished
It is impossible to take the test right now; all other respondents have already finished it.
Test categories
Tests may be assigned to categories. By doing so you can catalogue the tests you have created and keep track of them. When you click "Manage test categories" on the site "My tests", you will be redirected to the website on which you can add or delete names of categories. To assign the test to the category directly, go to "Initial settings" when configuring the test.

Lists of respondents

New list of respondents
Here you can create a list of e-mail addresses.

Required field which can only be seen by the test administrator. You will select respondent lists by its' names.

It is complementary. It will not be visible except in the respondent list manager view ("Lists of respondents").
Importing contact data from file
If you have e-mail addresses of the group of respondents in text file (*.txt), or CSV file, you can upload it here.
E-mail address
Standard form of the e-mail, e.g. jane.doe@gmail.com

Results base

It is a collection of all test results. As you can sort and filter them, you will easily find the specific results.
Field name

Chart settings
The current chart settings can be saved. Thanks to this, you do not have to set and sort filters as well as other parameters again.
To delete current settings, select them and use the link "Delete".
Number of records
Means the number of results (or records after grouping) including the search criteria. By default these are all results you have collected.
Include respondent's best attempt only
Depending on test configuration, particular persons may complete the test many times. Thanks to this option, the chart will show the best results of the respondents.
Search among subaccount results
Provided your license allows using subaccounts, when you select this option, the chart will show all your results and the results collected by other test creators (who have subaccounts).
Charts content
Allows column changing visible in the chart.
Group results
If you select this option, the results will be grouped by a criterion of your choice, e.g. first and last name. Thanks to this, you can create a list of all completions of particular persons and the mean.
Results per page
Defines the number of lines in the results chart.
Filtration
Text field filters search for cells in the column which contain the text given.
Dates filters require defining a time span. The values which are beyond the specific span will be excluded from the chart.
Sorting
Sorting takes places after one column. To use sorting, click the headline of the column you have chosen.
Presentation mode
Opens the results chart in the new tab in accordance with current sorting, filtering settings, etc. The presentation mode shows results in the "read-only" form, that is further filtration will not be possible, the same applies to the change of the number of results per page, etc.
In presentation mode logo will be attached in accordance with the settings of "Logo" in the section "Manage account".

Test configuration

Initial setup
In the test creation/initial settings window you will be required to define key (and not only) test parameters. One of the special functions of the application is that you can attach a logo. If you prepare a test and want to make it more attractive, you can add the logo of your company or institution.

will be displayed: when completing the test, on the results sheet, on printed: test form, answer sheet, test key and certificate. It is information for both you and your respondents.
Category
Serves to group tests which share similar features, e.g. similar topics, the same target respondents , etc.
Test description
Complementary information just for you. Its' main purpose if to remind you what the test is about.
Logo
Company or institution identification which will be visible while completing the test, on printouts and certificates. Recommended dimensions are given on the site and you should adapt your image to them. It is also possible to deactivate logo or just use the Testportal trademark.
Test language
Language used in the test interface - it's the language of home page, navigation buttons, etc. Remember to adjust own messages after you change the language.
Questions manager
"Questions manager" is a collection of all questions created for a specific test. In the questions manager you can do the following: add questions, delete questions, copy to another test and change their order. The order of questions matters when test sets have not been activated and random questions order has not been selected (description in next subchapter). This means that every respondent will get the same set composed of all questions exactly in the order they are in the "Questions manager".

Single choice - respondent may select one answer and only one answer is correct.
Multiple choice - respondent may select any number of questions (may also select no question because it is possible that none of the answers is correct).
Descriptive - respondent will give text answer which will not be checked automatically. This is test creator''s duty after the end of the test. The limitation in this question is the maximum number of words this answer may include.
True/false - respondent may select one out of two variants, while one must be correct.
Short answer - respondent is obligated to give answer by themselves. The anwer will be checked automatically by comparing with one or many models you have entered when creating the question. We suggest that you use this kind of question for math riddles.
Survey - respondent will be allowed to select one answer only. One answer is assigned to a specific number of points. Examples of answers to this question: always - 5points, often - 4points, sometimes - 3points, seldom - 2points, never - 1point.
Question content
Content of the question visible to respondents. An attachment (if any) will be located under the content of the question.
Attachments to the question
A graphic file or video which will be attached to the question. There are no limits in terms of the number of times the video is played on the page.
Enable displaying maximum number of points for this question
If you select this option, respondents will see the number of points they can get for a fully correct answer.

The field intended for a specific answer. The number of points to be given for one answer this field refers to.
Number of bonus points for giving all partial answers
If the respondent has selected all correct partial answers, a bonus in the form of a specific number of points will be given.
Number of points for incomplete or incorrect answer
Number of points to be given if not all correct partial answers have been selected. Remember! Negative points must be given with a minus sign, e.g. -2.
Number of points for each wrong partial answer
Number of points to be given for each wrong answer. Remember! Negative points must be entered with a minus sign, e.g. -2. Example: If you have entered "-1" and the respondent has given three wrong answers, it means 3 times "-1", which equals "-3".
Total number of points for the question
Maximum number of points you can get if you answer correctly to this question.

Maximum number of points for this question
Possible to limit the maximum numer of points for this question. Example: This value is points. 3 answers given, 1 point each. The respondent may give 3 answers in the test. Even if the respondent gives 3 correct answers, it will receive 2 points for this question.
Survey question settings:

In the case of survey question, the respondent may choose one answer only. It will get the number of points for the survey question which correspond to the number of points assigned to the answer it has chosen.
Test sets
It is a functionality thanks to which you can make your test more diverse and make the results more objective. Default settings guarantee that every respondent will get the test composed of all questions created. Both questions and answers will be arranged at a random order.

Questions will be drawn based on settings defined for particular question categories. Answers will be shown in random order.

Scoring and summary options
In scoring and summary options you can adapt messages available to respondents. You can also specify the pass mark and point/percent ranges. They are intended for scoring and may be specified before or after the end of the test, when you already know all the results.

This message will be displayed to all respondents, regardless of the result. It can include gratitude for taking the test.
Set redirection for external site after the end of the test
If you configure this option, the respondents who click "Finish test" will be redirected to the webpage you have entered.
Pass mark
You can choose a unit and specify the minimum result required to pass the test.
Give a detailed scoring on the basis of point ranges or percent ranges
If selected, you can enter ranges which will be assigned to scores and/or descriptive assessments. While entering the range, the message "to less than" means that the value given will not be included in this range. In turn "to" guarantees acceptance of the value to the range.
Example: range 1) from 0% to less than 40%, score: 2.0, range 2) from 40% to 100%, score: 3.0. If the respondent has gained 40%, its result will be included in the range 2 and the score will be 3.0.
Results in percentages
After the end of the test the respondent will see the result in percentages.
Result in points
After the end of the test the respondent will see the result in points.
Grade
After the end of the test the respondent will see the grade which will be assigned on the basis of the result.
Descriptive grade
After the end of the test the respondent will see the descriptive comment which will be assigned on the basis of the result.
Correct answers to questions
After the end of the test the respondent will be able to return to questions and see correct answers.
Passed or failed test message
You can enter messages which will differ depending on whether the test has been passed or failed. To enter them, specify the pass mark.
Inform the respondent about the result via e-mail
After the end of the test the respondent will receive an e-mail message which confirms the completion of the test and resembles the final page of the test (summary).
Send every respondent's result in a separate e-mail message
The number of e-mail messages will correspond to the number of respondents.
Send collective results when the test becomes inactive
You will receive one e-mail message with a results table applicable to all respondents.
Access to the test
It is a very important part of creating a test because your settings will determine the way respondents learn about the test, complete it and the number of attempts they are granted. With respect to access types like "Public Link", "Private access code" and "Group password", respondents will not be anonymous. They will be required to enter their personal data you have chosen in the section "Home page". Its' explanation can be found further in the handbook.

Training
The respondent may complete the test in this mode as many times as she/he likes. It is the only type of access in which results are not saved. This means that you cannot require respondents to provide their personal data on the test home page. This kind of access is intended for education or mock/training/quiz tests.
Public Link
The respondent must know the link to the test to start it. If the additional authorization of respondents is selected, every respondent must enter his/her e-mail address and gain a private access code. The e-mail address protects against mass completions of the test (also by Internet bots). The number of respondents is limited by you. The use of this type of access is very universal.
Maximum permissible number of test completions means how many times your test will be completed by all respondents. Importantly, another attempt to complete the test by the same respondent is treated as a new attempt.
Private access code
The respondent must know his/her access code. You may provide the code in person or send via e-mail. Every respondent has one access code which can be used to take a test as many times as you specify. This kind of test is intended to examine a specific number of persons who we have a direct contact with or whose e-mails we know. Thanks to this, we can be sure that the test will be completed only by interested parties. It is NOT obligatory to enter e-mail addresses but the use of access code transfer to mailboxes is a fast way of informing respondents about their access codes.
Through field "Number of new respondents" you can generate new access codes which will be added to the existing ones.
Group password
To use this function, it is necessary to have a subdomain. You can configure it on the "Subdomain" page in the section "Manage account".
Respondents may start the test by giving the password in the subdomain page.
Maximum permissible number of test completions means how many times the test will be completed by all respondents. Importantly, another attempt to complete the test by the same respondent will not be treated as a new attempt.
"Honest respondent" technology raises the reliability of test results thanks to the fact that test is blocked in case of cheating. The feature works by monitoring the browser tabs. It lets you detect an attempt to open a new window or new tab in the browser, switch tabs, run a local PC software, use of communicator or have a screen shot.

Activate warnings only
Every time the respondent attempts to leave the test, it will be recorded. The respondent will be informed about it with a relevant message, while the test creator will see in detailed results how many times the particular respondents left the test when answering the specific question. Despite warnings, the respondent will be allowed to finish the test.
Enable warnings and block test
This option allows blocking the completion of the test after leaving it for a specific number of times. Similar to activating warnings, every attempt to leave the test will be recorded. The respondent will be informed about it with a relevant message. The test creator will also be informed how many times particular respondents left the test when answering a specific question. If the respondent is blocked, its further attempts to start the test will be impossible (if it is assumed that every respondent may take a test more than once).
Caution! "Honest respondent" technology may not work properly on mobile devices and on test question pages with Youtube video attached.
Home page
On "Home page" you can give instructions for the test and specify the collection of personal data which must be entered by respondents before they start the test. If you do not select any personal data, collected results will be anonymous.

A message for respondents displayed before the test starts. When it is displayed, the test completion time is not measured yet.
Data required from respondents
Before respondents start the test, they will be obligated to complete all fields you have selected. Aside from standard data (first name, last name, etc.), you can define own text fields or selection lists. The selection lists will be very useful if you want to narrow down a collection of values to be used by respondents when entering data.
Non-standard fields of respondents'' data you use in your tests will be managed in the settings of your account.
Time parameters
In time parameters you can specify all settings concerning time monitoring in the test and related options.

Respondent will be given a time required to complete the entire test.
Time limit for every question in the test
Time for one question will be measured. It will be the same time for all questions.
Self-activation of test
The test will be available to respondents when you press "Activate test" in the test menu.
Period in which the test will remain active
Period in which respondents may start the test after you have pressed test activation button. If this period expires, they cannot start the test.
I will provide the test in a specific period of time
The test will activate automatically in a specific time ("Test activation start date" and deactivate at a specific time ("Test deactivation date").
The respondent may answer questions in any order.
Available only in the case of measuring duration of the entire test (not single questions). There is no order of questions, e.g. you will be allowed to answer the second question before you answer the first one.
Certificate template
"Certificate template" is a general view of the document which confirms participation in the test (certificate). You can edit the content of the certificate by selecting relevant fields. A detailed description of these fields can be found in table below.

Certificate content (paragraph 1)
Editable text field in which you can enter any kind of description, e.g. the topic of the test and subject of the certificate. With respect to final tests, the content of paragraphs may differ, depending on whether the test was passed or failed.
Test name
Is tantamount to test name entered in the section "Initial settings".
Certificate content (paragraph 2)
Editable text field in which you can enter any kind of description, e.g. the topic of the test and subject of the certificate. With respect to final tests, the content of paragraphs may differ, depending on whether the test was passed or failed.
Result in points
Respondent's result in points.
Result in percentages
Respondent's result expressed in percentages.
Grade
Grade assigned to the range corresponding to the respondent's result.
Descriptive grade
Descriptive comment assigned to the range corresponding to the respondents' result.
Facsimile on the left side
It concerns a left signature. It is one out of two possible images presenting signature of a cerificate issuer.

Certificate issuer's data located on the left side of the document.
Facsimile on the right side
It concerns a right signature. It is one out of two possible images presenting signature of a certificate issuer
Right signature
Certificate issuer's data located on the right side of the document.
Footnote
Information at the bottom of the certificate. It is usually a place for city/town and date.
Test start
To activate the test, it is necessary to click the "Activate test" link at the bottom of the configuration menu. If the test verification is successful, the test will be activated. Remember that if the test becomes active, you cannot take certain actions, i.e. add or delete questions or change test sets. If you start again, results would not be comparable. Another start of the same test lets you compare results at various times. If you want to take actions prohibited for test activation or after the first start, you must duplicate the test.
Settings change
If test activity in a specific period is defined in "Time parameters" and test activation date has not started yet, you can freely change any setting.

Course of the test and results

Respondent monitoring
When the test is being taken, you can use the "Respondent monitoring" to monitor current progress of your respondents. One of essential functions of "Respondent monitoring" is the fact that it is possible to change the remaining time in the test. You can both prolong and shorten this period. Depending on selected time parameters, the change will refer to entire test time or single question time.
Respondent monitoring (similar to "Results base" screen table) can be displayed in presentation mode. The full-screen mode can be used by a projector. In the presentation mode, logo settings from the "Initial settings"page from test configuration menu will be included.
Results
Thanks to Testportal, you can browse test results in a table which you can modify. You can also browse results in the detailed form. To do so, click the link "Details" in the table line applicable to the respondent of your choice. Additionally, you can sort and filter table records by a specific criterion. It is important that results from many dates can be placed in one table and compared there.
You can send an e-mail with additional information to respondents you have chosen.
Statistics
Statistical data will let you learn a lot about your test. They will show test pass rate and information on which questions turned out to be easy, medium or difficult. You can also check scores and histogram of results. Thanks to the average answer time diagram, you will find out which of them required most effort. All this information is available for you to use.
Unused codes
This page includes a list of access codes which have not been used. If you choose "Public Link" access and require access code authorization, you will see codes of those respondents who declared to attend the test but finally did not complete it. In the case of "Private access code", you will see a list of access codes which you have generated. These codes may or (may not) have been handed to respondents but have not been used yet.
Scoring descriptive questions
This is an action you have to take if the test contained at least one descriptive question. Open answer questions cannot be checked automatically. You are obligated to do so on your own. There are two ways of assessing descriptive questions. The first one lets you check all answers per one question. The second one in turn allows assessing all answers for particular questions of one respondent. Every time you give points, you must confirm the decision or do so at the end by clicking "Confirm all".
Change grading criteria
Testportal lets you change pass criteria when you already know respondents'results. Thanks to this, you can easily adapt the pass rate, thus reducing or raising the pass mark. Every time you change the pass criteria, you are obligated to process results from the specific date in accordance with the new assessment criteria. After processing, the results from the date you have chosen (only these) will be updated. When you select relevant assessment criteria, choose an option thanks to which respondents will find out about the updated interpretation of their answers.
Test interruption
Anytime the test is active, you can end it earlier by clicking the link "Finish test". The results of those who have already finished the test will be saved.

User account management

Menu options

General information
On this page you can find a collection of information on your account. You will see statistical data which show your activity on Testportal.
Your trial period
On this page you can change the type of your plan under the trial. After you do so, a free trial period for a new plan will be activated.
Pay subscription fee
Subscription must be paid to continue using Testportal under Standard, PRO and MAX plans. The subscription fee cover upcoming months.
Expand possibilities
The section is available for teachers who have a Free EDU account which limits the number of results stored. This page informs you that you can increase this limit. If other teachers like the Testportal application fanpage and use invitations you have sent to sign up, the limit for your results stored will increase. If you want to abolish the limit and unlock reports in MS Excel, buy EDU account at a very reasonable price.
History of transactions
This page includes a list of all purchases made when using Tesportal application. In the last column you can find icon links. Click any icon to display a hint on what a specific link is for.
Notifications
Settings related to e-mail notifications are crucial from the point of view of supervising tests and user accouns. It is advisable to receive all possible notifications.
Logo
The logo you will load on this page will be a default logo for newly-created tests. It will also be visible on the subdomain page (if configured) and on pages in the presentation mode.
Non-standard data fields
Own data fields required from respondents will let you get the data you need to develop the results. You can for example define a drop-down list with a label "Company branch". This way your respondents will choose only pre-defined values, thanks to which you will easily process the results and you will not need to worry about the so-called "spelling mistakes" or punctuation mistakes.
Remember: if you delete a non-standard field in the account settings, the field will not be required in all active tests. Do not worry about previously collected results as the data given by respondents will be saved.
Your data
In the section of this name you can edit your personal data and company's contact data you have entered during registration. Validation of these data is partially disabled due to diversity of data entered by business entities.
Regional settings
Here you can specify your country of residence, time zone as well as language and currency. The language you have chosen will be used in the application interface, while the currency is a default setting for payments made under Testportal. It is essential that you enter a correct time zone because this will determine test start if the option "I will provide the test at a specific time" on the screen "Time parameters" has been selected.
Change password
On this page you can define a new access password for user account.
Change e-mail address
E-mail address is changed in a specific order. After entering a new e-mail address, you will receive two messages: first (sent to a new address) includes an activation link for a new e-mail address, whereas the second (sent to the old address) includes a message confirming a willingness to change e-mail address. The activation link will redirect you to the verification page on which you will be obligated to enter your acoount password.
The entire procedure of changing e-mail address is a little complicated but guarantees maximum user safety.
Subaccounts
You can add subaccounts which will let man users use Testportal application under your license. Thanks to this, you can create a kind of network of users who will be allowed to exchange their test (or even have a common results base). The user who created subaccounts will be able to log in any subaccount, lock its' access or change the subaccount ownership.

Subdomain
Once you have set the subdomain, all links to your tests will start with yoursubdomain.testportal.net. Additionally, the very subdomain page will serve as a gate used by respondents to start tests secured with an access code or group password. On the subdomain page you will see the access code/group password field and your company's/institution's logo.
